The latest documents folder is created automatically by the application inside a project.  The folder initially consists of first-time uploaded documents, but later those same documents are updated with a copy of the latest revised version of the documents, once you upload a newer version of an existing document. Hence, the latest  version of any document is to be found inside the Latest documents folder.


The 'Latest documents' folder will not consist of the most recently uploaded versions of documents of a particular folder if the checkbox Exclude from “Latest Documents” is selected during creation of that particular folder. This checkbox is shown below:


Example: You have uploaded a file named A2.3 and you have given this file a revision number 1 before publishing. Then you again upload the same file (with or without modification in the content) with the same name, or another file with the same name, and gave this file a revision number 2 before publishing. The 'Latest documents' folder will consist of the latest version of the file which is the file with the revision number 2.


Both versions of the files are displayed inside the folder within which the files are uploaded. These files are shown below:


Only the latest version of the uploaded file will be displayed inside the 'Latest documents' folder. Hence, the 'Latest documents' folder will consist of the latest version of the file which is the file with the revision number 2. You can verify this from the revision history of the file.

Operations that can be performed on latest documents folder:

  1. Download document: Click this button to download the whole 'Latest documents' folder with its content in ZIP format. The files downloaded with the folder are simple PDFs without the annotation, hyperlinks which may have been drawn & saved on these files.

  2. Download with markups: Click this button to download the whole 'Latest documents' folder with its content in ZIP format. The files downloaded with the folder are PDFs with the annotation, hyperlinks which may have been drawn & saved on these files.

  3. Add to print cart: Click this button to order printing of all the documents inside the folder to a PSP. Please refer to Ordering Prints help file for more details.

  4. Send: Click this button to send download link of this folder to the email IDs of any existing SKYSITE user or any external user. The external user need not have SKYSITE account. He/she can access the download link through email and directly download the folder content in ZIP format

  5. Share Folder: Click this button to share this folder to another SKYSITE user or an external user. The external users in this case need to create a SKYSITE account before accessing the shared folder. 'Latest documents' can be shared only in read only mode. Please refer to Sharing a Folder help file for more details.


Once you navigate inside the 'Latest documents' folder, you can view the latest versions of all the files inside that folder. This is shown below:


  • Click the [More options] button to view the operations which can be performed on a file inside the 'Latest documents' folder. 


The list of operations for a particular file is shown in the screenshot below:


Operations that can be performed on files inside latest documents folder:

  1. Download document: Click this button to download the document in PDF format without the annotations, hyperlinks which may have been drawn & saved on this document.

  2. Download with markups: Click this button to download the document in PDF format along with the annotations, hyperlinks which may have been drawn & saved on this document.

  3. Add to print cart: Click this button to order printing of this particular file to a PSP. Please refer to Ordering Prints help file for more details. 

  4. Send: Click this button to send download link of this file to the email IDs of any existing SKYSITE user or any external user. The external user need not have SKYSITE account. He/she can access the download link through email and directly download the file in PDF format.

  5. Revision history: Click this button to view the various revisions of this file. Say you have uploaded a file named A2.3 & you have given this file a revision number 1 before publishing. Then you again uploaded the same file (with or without modification in the content) with the same name or another file with the same name and gave this file a revision number 2 before publishing. The 'Latest documents' folder will consist of the latest version of the file which is the file with the revision number 2. This is displayed in the revision history section as shown below:


Revision 2 of the file appears selected as this is the file currently residing under the 'Latest documents' folder. You can view, download or order print for each version separately.
