Types of Collection


Follow the given procedure to access the Collection Home screen:

  1. The Collection Home screen opens by default when you are logging in to the SKYSITE Archives application. 

  2. If you are navigating from other screens then click on  at the top right-hand side of the screen to access the screen.

  3. By default, the Collections falling under Active category will be displayed under the grid.

Screenshot displayed below shows the Collection Home screen:

The screen above displays each Collection details row-wise. The Collections displayed falls under the selected category (only Active Collections are displayed as per the screenshot above).

The Collection Number, Collection Name, Collection Owner, option to edit the Collection is displayed in the grid section of the Collection list.


There are three types of collection in the SKYSITE Archives application.

  • Active Collection
  • Completed Collection
  • Archived Collection

Active Collection:

Collections which are freshly/newly created by the user is called as Active Collection. By default, whenever user navigates inside the Collection list screen, the Collections falling under Active category will be displayed to the user. This is shown above in the screenshot.


User can navigate inside a Collection by a single click on the name of the collection. By default, user will land on the Collection Files screen. This is shown below,

The screen is divided into two sections. The left-hand side grid section displays the folder structure of the selected Collection. Once you select any of the folders, the file present inside the selected folder will be displayed on the right-hand side File display grid.


User can perform following operation on Folder for Active Collection:

  • Refreshing the folder list.

  • Moving the folders up and down as per your wish. This option only works when the folders sorting option is selected as "Manually organized". 

  • Create a new folder directly under a collection or under another selected folder

  • Click on button to perform other operations on the folder like, Add to Print Cart, Download Folder, Export Folder, Folder Sorting Options, Share Folder, Manage Permissions, Move Folder, Remove Folder, Rename Folder and, Upload Folder.

User can perform following operation on Files for Active Collection:

  • Uploading new file and create Word Document, Excel Workbook and PowerPoint Presentation directly under a selected folder

  • Sharing a single or multiple files.

  • Click on button to perform other operations on the file like, Add to Print Cart, Check in files, Check out files, Copy Files, Delete Files, Download Files, Export, Manage view, Modify attributes, Move files, Set alerts and, Undo changes

Completed Collection:

Collections which are completed by the user (which means the Collection has been marked as 'Completed' by the user during editing of the Collections) is called as Completed Collection. A collection is marked as completed when work with the collection is finished as the project is over. To navigate inside the Collected Collection list screen user needs to perform the following steps,

  • On the Collection list screen click on the  dropdown to open the drop-down menu.
  • From the drop-down menu options click on the Completed Collections menu option.

User will land on the Completed Collection list screen. This is shown below,

User can navigate inside a Collection by a single click on the name of the collection. By default, user will land on the Collection Files screen. This is shown below,

For Completed Collections files screen user will only have the permission to READ which is shown in the screen beside the collection name.


User can perform following operation on Folder for Completed Collection:

  • Refreshing the folder list.

  • Click on button to perform other operations on the folder like, Add to Print Cart, Download Folder, Export Folder, Share Folder and, Manage Permissions.

User can perform following operation on Files for Completed Collection:

  • Sharing a single or multiple files.

  • Click on button to perform other operations on the file like, Add to Print Cart, Copy Files, Download Files, Export and, View files.

Note: User cannot create a new folder nor add new files or create Word Document, Excel Workbook and PowerPoint Presentation for a Completed Collection.


Archived Collection:

Collections which are completed by the user (which means the Collection has been marked as 'Completed' by the user during editing of the Collections) can be marked as Archived to save Collection documents, collection information and Album info for an indefinite period within the application. To navigate inside the Archived Collection list screen user needs to perform the following steps,

  • On the Collection list screen click on the  dropdown to open the drop-down menu.
  • From the drop-down menu options click on the Archived Collections menu option.

User will land on the Archived Collection list screen. This is shown below,

User can click the   button to view the retained documents within an archived collection. The Document Retention screen opens up.

Here, you can view the retained documents within an archived collection (retention set for each document type through the Retention management screen in settings) and can download selected documents within local system, can permanently delete the collections, can extend retention period for selected documents and also can view documents which have been previously deleted from the application automatically as those documents were not retained.

User can navigate inside a Collection by a single click on the name of the collection. By default, user will land on the Collection Files screen. This is shown below,
For Archived Collections files screen user will only have the permission to READ which is shown in the screen beside the collection name.

  • Click on button to perform other operations on the folder like, Add to Print Cart, Download Folder, Export Folder, Share Folder and, Manage Permissions.

User can perform following operation on Files for Archived  Collection:

  • Sharing a single or multiple files.

  • Click on button to perform other operations on the file like, Add to Print Cart, Copy Files, Download Files, Export and, View files.

Note: User cannot create a new folder nor upload new files or create Word Document, Excel Workbook and PowerPoint Presentation for an Archived Collection.
