The Settings pop-up automatically opens up once a new project is created.
For an already existing project, the settings can be accessed at project level by project creator and account owner. Clicking the icon will show the settings option [highlighted by the red rectangle in the screenshot below].
The 'RFI settings' pop-up screen is shown below,
Tip: Numbering provided for identification of the various field names.
The Settings tab includes the following fields:
Custom Attributes: The settings pop-up screen lets you enter the name of the attributes/fields within the text boxes provided, which will appear as Field Names on the RFI Creation screen. The application will provide the option to add a maximum of 5 custom fields. After entering the field name once you click on the button a new text box will appear below the existing one where you can enter another custom attribute name. A custom attribute field cannot be edited or deleted after it is created and saved.
For example, enter a custom attribute called 'Number'. This attribute will appear as a field on the Create RFI screen as shown in the screenshot below,
Starting RFI Number: The number for the first RFI creation will be treated as a starting number. Next RFI creation onwards this number will be incremented by one. Once the first RFI is created, you cannot modify the RFI no (number generation pattern) in the settings. The default entry number is 0001.
- Example 1 - If the first RFI number is RFI0001 then the next number will be RFI0002 and so on and so forth. (The entered number will be incremented by one taking into account the number of digits)
- Example 2 - If the first RFI number 0001 then next number will be 0002
- Example 3 - If the first RFI number 1 then next number will be 2
- Example 4 - If the first RFI number ARC0001 then next number will be ARC0002
- Example 5 - If the first RFI number AR-1 then next number will be AR-2
- Example 6 - If the first RFI number 3 then next number will be 4
The RFI number entered can be numeric or alphanumeric. In case the entered characters are alpha-numeric, then the first 3 characters can be alphabets as well as special characters. The application will accept only 3 types of special characters viz. underscore (_), hyphen (-) & dot (.). The rest of the characters after the first 3 characters will have to be numeric. A total of 9 characters can be entered, out of which first 3 characters can be alphabets or special symbols and rest will be numeric. You can change the default entry according to their discretion.
Response In Number of Days: You should enter the number of days within which the RFI must be responded. This field will accept numbers only, which can be up to 2 numerical characters. Here, only calendar days will be considered as the number of days, within which the RFI query must be responded to. The default entry is 10. you can change the default entry according to their discretion.
Example: Say, the number of days entered in Response In field is 5 and the current day is Thursday (05/15/2015). Then the RFI query must be responded to within Tuesday (05/20/2015) i.e. directly 5 days after the current date.
You need to click on [Save] to save the settings. After entering the custom fields which can be from none to 5, the number of custom field names entered will appear as fields (against which information can be entered) on the Create RFI pop-up box.
You will have to mandatorily save the RFI settings (either with own values or with the default values populated by the application). The Starting RFI Number & Response In Number of Days fields will be populated by the application if you leave these two fields as blank. The application will give warning message if you remove the default values, leave the fields blank and then try to save the settings.
