There are four processes that can be used to sync emails with the SKYSITE cloud.


1. Syncing Outlook emails to SKYSITE projects by right-clicking on emails

  • Right-click on the emails you want to sync from Outlook and select the option [Sync to SKYSITE].

  • On the ‘Select destination’ screen, select the project that you want to sync the emails with. Use the search bar to narrow your project search.  Once you have selected the destination, click on [Sync email to SKYSITE].

Please note: Until you chose a destination, the button [Sync email to SKYSITE] will not be enabled.

  • To access the synced email, click on the ‘SKYSITE folder’ located in the left folder pane in Outlook. Under ‘Projects’, you will see the projects that contain synced emails. Click on the folder where you stored the email to view it. Note that this feature is only enabled for ‘enterprise pricing package’ users

Once your emails have been synced, a folder with the name of the synced project, will appear in the ‘left folder pane’ of the Outlook application. For example, a user can sync an email from Outlook to a project called ‘Housing construction’ in SKYSITE Projects. The user will then see a folder called ‘Housing construction’ under the ‘Projects’ folder (the Projects folder is located under the SKYSITE folder on the left folder pane of the Outlook application.)

Please note: The synced emails will be moved from its original folder (Inbox, sent files etc.) to the chosen folder (E.g.: ‘Housing construction’ folder). Additionally, a copy of the synced email will be uploaded to the ‘Email Archive’ folder inside the ‘Housing construction’ project in SKYSITE.


2. Syncing Outlook emails in SKYSITE projects by dragging & dropping emails

As shown above, once the user had synced a specific project, a folder (with the name of the synced project) appears on the left folder pane of Outlook. User can now select a single email in Outlook and drag & drop it to the synced project folder.

3. Automatically syncing Outlook emails to SKYSITE projects while sending emails

  • While sending an email, users have the option of clicking the [Send and associate] button. This will not only send the email to the intended recipients, but also sync the email to a specific project in SKYSITE.

  • Once you have entered the intended recipients (by populating the ‘To, Cc and Bcc fields’), you can then click the [Send and associate] button. The Select Destination’ pop-up will appear as shown below. You can now can search and select a specific project in SKYSITE Projects to sync the selected emails.

  • To choose a specific project, you will have to select the ‘Projects’ radio-button. Your projects will appear on a selection list window. Once you choose a single project, the [Sync email to SKYSITE] button is enabled.

Once syncing is complete, the selected email will be saved in the ‘Email Archive’ folder in SKYSITE Projects. This feature is only available if the user has the ‘enterprise pricing package’.

4. Syncing emails from Outlook/Gmail/other email apps into SKYSITE projects using a Email Archive address

Every project in SKYSITE will be assigned a unique email address such as Project_name@skysiteprojects.net.

  • The user can enter this unique email address in ‘Settings’ section (under General tab)

  • Emails received or sent to this email address from your Outlook application will be synced to your project. Project users can specify this email address in the ‘To/ CC/ BCC’ fields while sending emails from Outlook, Gmail or any other mailing application. These emails are automatically associated with the specific project and are stored inside the ‘Email Archive’ folder of said project.


Please Note: The Email Archive feature to sync an email from Outlook, Gmail or other email applications to SKYSITE is only available users with the ‘enterprise pricing package.’
